PassArchiver is an optical archiving system integrated in PassBroker, W-broker and PassAgenti. This system facilitates the rationalization of management processes and the circulation of information in hard copy format, thereby reducing documentation management times and improving work quality.
The digital document archive, organized with password-protected access, falls under the provisions of Legislative Decree no. 196/2003 in relation to the new Privacy and Data Security Code.
This application manages the acquisition, archiving and management processes of a company’s documentation.
The PassArchiver application is fully integrated with PassBroker, from which it derives its profiling/access levels, thus making the indexing and search phases for each document automatic.
Integration with PassBroker ensures the easy and secure use of document archiving functions. The user archives and consults documents directly from the administrative database/software, and these are then indexed automatically according to visually displayed values.
The opening function of the document archive can be activated from screen views related to a customer’s personal data, from policy management, or from claims management.
Another free search function is currently being developed based on previously-established indexing keys.
The system activates the acquisition function of a hard copy document via scanner, and automatically extracts the archiving indexes from the PassBroker screen view. In any case, the operator can opt to integrate extracted indexes with a manual digitizing of additional values.
Automatically managed archiving indexes are as follows, divided by document type:
- Customer: Document type, document date, document status, company name, producer, subject, notes
- Policy: Document type, document date, document status, customer, mandate, product, producer, licence plate number, subject, notes
- Claim: Document type, document date, document status, customer, mandate, product, claim number, policy number, licence plate number, subject, notes
PassArchiver allows users to generate printed versions of bar codes on plain paper in A4 format with all the indexing keys used with
Customers, Policies and Claims. This printed version will be used for automatic archiving: placing it before any documents inherent in a single dossier, all documents collected will then be included in a
single scanning.
Thanks to this method, the electronic archiving of documents can be
implemented at a later time than their hard copy census, thus maintaining the synchronous process characteristics unchanged (reliability of indexing keys, security, etc.) and
minimizing times dedicated to digitizing documentation.
Advantages
Introducing a firm to an optical document archiving system means:
- Rationalizing management and circulation processes of information in hard copy format.
- Reducing documentation management times, improving work quality within the organization and consequently, the quality of service offered to the customer.
- Speeding up the document processing flow, progressively reducing the use of paper and the need to withdraw paper from the historical archive.
- Completely eliminating the risk of losing a document following its consultation, or of not replacing it in its original position.
- Adopting an organizational model that enables a company to be immediately operational without having to upset the corporate organization, thanks to the availability of all documentation in real time, with user profiling and password-protected access levels.
